How do the client and next trade record what is complete and what remains?

An acceptance record with separate incomplete-work, exclusion and new-request statuses.

Bring the agreed scope to the walk-through

Use the same room and item references that appeared in the removal brief. Check the completed work against that list rather than creating a new scope from memory. Include retained surfaces and shared routes as well as the areas stripped out.

Photograph an item in context and add a close-up only where it helps explain the condition. A photo needs a location and a written note to be useful to someone who did not attend the walk-through. Avoid recording occupants, private paperwork or unrelated business information.

Separate three kinds of open item

Incomplete agreed work belongs on the completion list. An explicit exclusion belongs with the contractor responsible for the next stage. A new request needs its own scope decision. Labelling all three as a “defect” hides who is expected to act and can create avoidable disputes.

For each open item, record the responsible contact and what evidence will close it. If an area cannot yet be accepted, state the reason and whether it affects another trade’s access. Do not use a signature to conceal unresolved work.

Define acceptance without implying a finished fit-out

A broom-clean strip-out can still require patching, substrate preparation and new installations. Confirm the receiving condition described in the contract and identify those later responsibilities. Handover is a record of the agreed removal, not certification of work outside that scope.
