How can a client define what is released between office removal phases?

A phase release record linking retained areas, shared routes and unresolved items.

Map work areas and retained areas separately

An office phase should have a boundary that people can identify on site. Mark the rooms being stripped, the areas that remain occupied and the shared routes between them. A line around the work area is incomplete if debris must pass through a corridor used by staff.

Prepare a simple plan key: W for the proposed work zone, R for retained space and L for the agreed load-out route. This is a coordination sketch, not a safety or access approval. Property management and the responsible project team need to resolve any conflict before a phase begins.

Use a release decision between phases

Do not treat a date in a programme as proof that an area is ready to change hands. Agree who checks removed items, retained finishes, housekeeping and any temporary condition. Record the open items that prevent release and who will resolve them.

Confirm what happens to furniture, IT equipment and active building services before the boundary moves. Disconnection and relocation belong to the responsible specialists. A demolition crew should not infer that a cable or device is abandoned because a desk has been removed.

Keep the next phase out of the current scope

Identify any access needed through a completed area for later work. If that route must stay protected, state when protection can be removed and who accepts its condition. Record revised boundaries so the next crew does not work from the earlier phase plan.
